License entitlements: moving a license, freeing up users, and fixing the "All entitlements claimed" error

How license entitlements work

Each license has a set number of entitlements (activations). If you log in with the same Redgate ID every time you activate a tool, you'll only ever use one entitlement, no matter how many machines you install it on.

An entitlement is only used up when a different Redgate ID activates the license. This is why moving a license to a new machine doesn't require you to deactivate it first, and why the same license can run into trouble if several people or email addresses have activated it over time.

Moving a license to a different machine

There's no need to deactivate your license before moving to a new machine. As long as you log in with the same Redgate ID each time, you'll never run out of activations.

If you're having trouble activating on a new machine, check that you're logged in with the correct Redgate ID:

  1. In the tool, go to Help > Manage license to check whether you're logged in and which ID is being used.
  2. If the ID doesn't match the one you've used before, log in with the correct Redgate ID.

If you're still stuck, you may need to log in to the customer portal and free up an entitlement, either by removing an old user or by removing the entitlement assigned to the wrong Redgate ID (see below). If you can't see the license in the portal, contact the license owner.

"All entitlements claimed" error

You may see the error "Failed to activate the license: All entitlements have been claimed" during online or offline activation. This happens for one of the following reasons.

You're not logged in. Check via Help > Manage license in the tool. If you're not logged in, sign in with your Redgate ID. Logging in with the same ID each time means you can activate on as many machines as you need without running out of entitlements.

Other people, or other email addresses, are using the entitlements. As a license owner or admin, log in to the customer portal and click the product tile to see who's using the license. If you can't see any licenses here, ask the owner to check, or ask them to add you as an owner or admin.

Entitlements are commonly used up by:

  • Users who no longer need the license (for example, someone who's left the company)
  • The same person activating from more than one email address (each different address uses a separate entitlement)

Removing old or duplicate users frees up entitlements for the license. If none are available to remove, you may need to purchase more.

Freeing up an entitlement (removing a user)

You'll need to be a license admin or owner to remove users.

Client/desktop tools (such as SQL Prompt, SQL Compare)

You can activate a desktop tool on as many machines as you need without using extra entitlements, as long as you log in with the same Redgate ID each time. Activating with a different email address uses up another entitlement.

For example, a 3-user license could end up fully claimed if one entitlement is assigned to your Redgate ID, one to a user who's left the company, and one to a device ID from an offline activation.

Note that user based licensing doesn't support tool versions before 2017, so older licenses will show activations by device ID rather than Redgate ID in the portal.

To remove a user:

  1. Go to the customer portal and log in with your Redgate ID.
  2. Click the product tile you need to remove a user from.

  3. Tick the box next to the user's email address and click Remove. If you're not a license owner, you'll need to ask the license owner to do this.

Server tools (Redgate Monitor, SQL Backup, SmartAssembly)

Users shouldn't be added to server tools, as this uses up entitlements and can lead to the same "All entitlements claimed" error. After activating a server tool, you should only see a device ID on the usage list, not individual users.

To avoid this, remove any users from the license and only add people as admins or owners instead. This lets them view and manage the license in their Redgate account without using an entitlement.
