FAQ: OST file is larger than mailbox size shown in ESA

After archiving, if you are running in Cached Exchange Mode in Microsoft Outlook, you may find that your .OST (offline folders) file is still larger than the mailbox size reported in the ESA Admin Console.

There are two possible reasons for this:

- The OST file has not been compacted since archiving, and so contains a large amount of unused space. See http://support.microsoft.com/kb/289987 for a description of how to compact OST files.

- The mailbox now contains a very large number of small messages (archive stubs). OST files appear to be inefficient at storing very small messages, typically requiring approximately 7KB per message. Archived message stubs are typically only 1-2KB, so a very large number of stubs in the mailbox could cause the OST file to become larger than the size reported by Exchange Server, and therefore also ESA. However, the size of the mailbox on the Exchange server, and also the amount of data transferred over the network, will still remain small.
